Notarization & Certified Copies
We assist clients in preparing and submitting their documents to Dutch notary offices for notarization.
The Netherlands has several types of notarial formats, and we help determine the correct one based on the
destination country and the institution requesting your documents.
The most common notarial formats include Certified True Copies and
Signature Witnessing (Legalisation of Signature). If you require a specific notarial wording or
special notarial statement, please inform us in advance so we can confirm with the notary before the appointment.
What we can notarize or certify
For individuals:
• Signature witnessing for declarations, authorizations, POA, consent letters
• Certified True Copies of passports, IDs, diplomas, transcripts, birth/marriage certificates
• Notarial statements confirming identity, marital status or other personal declarations
For companies:
• Signature witnessing for company contracts and resolutions
• Certified True Copies of corporate documents (KVK extract, Articles of Association, UBO forms, etc.)
• Notarial statements regarding representation authority, shareholders or corporate structure

• Notarial statements confirming identity, marital status or other personal declarations
For companies:

How the notarization process works

1Send us a scan of the document you want notarized or certified. Tell us the destination country and purpose.

2We review your document and advise the correct notarial form — Certified Copy, Signature Witnessing, or a specialised notarial statement. If a special wording is required, we verify it with the notary in advance.

3We prepare the necessary documents and submit your file to the notary office. We arrange the appointment on your behalf. Power-of-attorney or remote options may be available depending on your document type.

4After notarization, we can also arrange Apostille or Embassy Legalization if the document is intended for use abroad.

5Completed notarized documents are delivered to you by courier or registered post.
